Job Description

As an MIS Associate – Apprentice at CGI, you will support the Talent Acquisition (TA) function by managing recruitment data, handling reporting, and overseeing automation initiatives. Working closely with the MIS Lead, your role involves data reporting, deriving insights, and operating RPA tools. You will draft and continuously update daily, weekly, and monthly Talent Acquisition dashboards, ensuring zero discrepancies. The position requires utilizing complex Excel functions for data processing and visualization, monitoring and executing RPA scripts for seamless data handoffs, and supporting deep-dive analyses of recruitment metrics. You will also collaborate with stakeholders to pinpoint reporting requirements and proactively identify pipeline bottlenecks to streamline processes.

Roles and Responsibilities

  • Data Reporting & MIS Management: Draft and continuously update daily, weekly, and monthly Talent Acquisition dashboards, ensuring zero discrepancies in data.
  • Advanced Excel Operations: Utilize complex Excel functions (VLOOKUP, HLOOKUP, INDEX-MATCH, Pivot Tables, conditional formatting) to process and present data visually.
  • RPA & Automation Support: Monitor and execute RPA scripts designed for seamless data handoffs between recruitment systems.
  • Data Analysis & Insights: Support deep-dive analyses of recruitment metrics (TAT, offer conversion rates, pipeline velocity) to guide stakeholders.
  • Stakeholder Collaboration: Collaborate with recruiters, hiring managers, and the MIS Lead to pinpoint reporting requirements and deliver structured outputs.
  • Process Improvement: Proactively identify pipeline bottlenecks and introduce reporting process streamlines for better operational efficiency.

Skills and Eligibility Criteria

Educational Background: Bachelor’s degree in any discipline (B.Com, BBA, BSc, B.E, or equivalent) with strong exposure to data handling tools. An MBA or certifications in Data Analytics is considered a strong plus.

Experience: 1 to 3 Years in relevant fields.

Mandatory Technical Skills:

  • Advanced Excel Skills: High proficiency in MS Excel, including formulas, pivot tables, data cleaning, and reporting.
  • Automation/RPA Knowledge: Basic understanding of automation tools or a high willingness to learn Robotic Process Automation (RPA) workflows.

Competencies:

  • Core Competencies: Business Process Management, Communication, Talent Acquisition, Talent Management, and Talent Planning.
  • Analytical Thinking: Ability to actively interpret raw data, spot trends, and extract meaningful business insights.
  • Attention to Detail: Consistently high levels of accuracy when handling and reporting crucial data sets.
  • Time Management: Strong organizational capacity to manage multiple reports and meet tight deadlines effectively.
  • Communication: Clear presentation skills for data findings and seamless cross-functional team collaboration.
  • Good-to-Have Skills: Familiarity with HR/Talent Acquisition metrics and recruitment reporting. Exposure to visualization tools such as Power BI, Tableau, or Google Sheets. Knowledge of standard Applicant Tracking Systems (ATS) or HRIS platforms. Basic understanding of Excel macros, VBA, or foundational scripting.
